How to build a brand voice guide with ChatGPT

So AI sounds like you — not like every other candle shop.

If ChatGPT keeps writing captions that don't sound like you, it usually isn't the AI — it's that the AI doesn't know how you write yet. 1. What a brand voice actually is

It's simply how your business sounds — the small habits in your writing.

  • The words you naturally use
  • Your sentence length
  • Punctuation and capitalisation
  • How polished or casual you sound
  • Whether you use emojis
  • How salesy you do or don't want to be

If AI sounds generic, it usually means it doesn't know these things yet.

2. Start with your real writing

Give it examples of you before you ask it for anything.

  • 5–10 captions you've already written
  • Product descriptions or launch copy
  • Customer replies or emails
  • Website copy or your bio

3. Describe your brand and your customer

Give it context. Your brand in 3–6 words — warm, helpful, premium, calm, honest, playful — then tell it who you sell to.

  • Who your ideal customer is
  • Why they buy from you
  • How you want them to feel
  • How premium or affordable your brand is

AI writes better when it knows who it's speaking to.

4. Tell it what sounds like you

Be clear about the details — the more specific you are, the less generic the writing feels.

  • Words and phrases you naturally use
  • How formal or casual you are
  • Preferred sentence length
  • Whether you use lowercase
  • Whether you use emojis or not
  • How salesy you do or don't want to sound

5. Tell it what you never want

Boundaries help AI sound more like you. Include the phrases you never want it to use, the tone it should avoid, the overused candle phrases you're tired of, and anything that feels too salesy.

  • luxurious aroma

It's not that these are always wrong — they just might not sound like you.

6. Ask ChatGPT to build the guide
